September update Custom booking forms, ticketing & booking tasks

Our September update lets you run multiple booking forms side by side, adds group emails and a Ticketing staff role, refreshes booking tasks with separate workflows for one-off and regular hire, and more.

A bumper month, headlined by a long-requested change: your hall can now have more than one booking form. Plus group emails and a new staff role in ticketing, separate booking-task workflows for one-off and regular hire, two-tier conditional custom questions, and a batch of receipts, invoices and billing-code improvements on Silver and Gold.

1. Fully customisable booking forms

Until now, your venue had a single booking form covering every kind of hire — one set of fields, one set of questions, one terms checkbox. That works fine if every booking looks the same, but most halls take a real mix: a yoga teacher booking the same slot every week, a one-off christening, a children's party that needs to know how many under-5s are coming.

From this update — and on every plan — you can design as many booking forms as you like, with full control over field selection, facility options, payment methods, and email and invoice templates. Pick which form a customer sees based on what they're booking. A typical setup we see:

  • Tennis court reservation — a streamlined form, instant confirmation, online payment
  • Indoor hall hire — a longer form requiring staff approval before the booking is confirmed
  • Children's party — adds party size, age range, add-ons (bouncy castle, tables & chairs)

Each form has its own required fields, custom questions and terms checkboxes, and you can clone an existing form as a starting point.

2. New ticketing features

The Events module gets two long-requested additions, both available on every plan with ticketing enabled.

  • Group email to ticket buyers — pick an event, filter by order status (paid, unpaid, refunded) and message category, and reach the right slice of your audience in one go. Useful for venue-change notices, last-minute parking instructions or a thank-you after the night.
  • Ticketing staff role — a new permission level that lets event volunteers manage orders and check attendees in on the door, without giving them access to the rest of the booking system.

3. Booking tasks refresh

Booking tasks are the post-confirmation jobs that sit between "booking confirmed" and "customer arrives" — sending the door code, posting the welcome pack, chasing the balance, returning the deposit. They've been in the product for years; the UI hadn't really been touched.

This update replaces the old per-booking task list with a single overview page covering every outstanding task. Filter by status, booking type and date range, then complete, reset or dismiss tasks straight from the list — no need to open the booking. And you can now set different workflows for one-off and regular bookings, so a one-night christening doesn't trigger the same chain of reminders as a year-long yoga class.

4. Two-tier conditional custom questions

Custom questions can now branch. Ask a top-level question, and depending on the answer, reveal a second tier of follow-ups — without forcing every customer through every question.

The example we hear most: a "party booking" answer that opens up a sub-set of questions about bouncy castles, third-party caterers and a public-liability insurance upload — questions that are irrelevant to the 90% of bookings that aren't parties.

5. Receipts, invoices & billing codes

Silver Gold

A trio of finance improvements for Silver and Gold customers:

  • Receipt export — pull receipts out for your accountant in one go, instead of chasing them down one booking at a time.
  • Quicker invoice generation — shortcuts for the invoices you raise most often, so the common path is a single click rather than four.
  • Smarter billing-code matching — codes can now match on customer and/or booking category, so a regular hirer with a special rate and a one-off children's party with a different code both fall to the right ledger automatically.
